Votel Fulfillment

Ongoing white-label delivery for every client you sign: onboarding, support, and upkeep inside Votel.

Setup happens once. Fulfillment is every client after that: the intake, the sub-account build, the launch checks, the support tickets, the change requests, and the slow work of keeping a dozen accounts correct while your clients change their prices and Votel ships new features. We run that delivery inside your Votel account, under your agency's name, through one queue and one checklist, so the tenth client is built as carefully as the first and your week goes back to selling.

Onboarding each new client

Every client you sign goes through the same intake and build checklist, so account twenty gets the same care as account two.

  • An intake covering the client's services, hours, locations, and approvals
  • The sub-account built from your agency template, then adapted to that client
  • Calendars, pipelines, and the client's own tools connected
  • Launch checks against a written checklist before the client goes live
  • A record of what was built and what the client approved

Support and change requests

One queue for everything, instead of requests scattered across chats. Each request is confirmed against scope before work starts.

  • Day-to-day ticket handling under your agency's name
  • Change requests confirmed for scope and timing before we start
  • Every request logged against the right sub-account
  • Technical issues routed to the person who built it
  • Escalation handling so only the hard cases reach you

Quality and upkeep

Accounts drift. Workflows break quietly, calendars go stale, and AI agents answer from last quarter's price list. Upkeep is catching that before your client does.

  • Proactive health checks: failed workflows, broken integrations, stale calendars
  • AI agent transcripts sampled and corrected, where agents are live
  • Knowledge updates when a client changes pricing or services
  • Platform changes applied to live accounts as Votel ships them
  • A regular written update: what shipped, what's blocked, what's next

How we run it

  1. 01

    Scope

A short call, then a written scope and quote. Nothing starts until you've approved it.

  2. 02

    Deliver

The work happens inside Votel, white-labeled to your brand, with a direct line to whoever's doing it.

  3. 03

    Hand off & support

Your client sees your agency. We stay on for ongoing support whenever you want it.

What you get at the end

  • One queue for every request, with a named point of contact
  • An intake and build checklist applied to every new client
  • A written log of every request against its sub-account
  • A regular status update you can forward to clients under your name
  • Everything built inside your own Votel account, so it stays yours

What this doesn't cover

Said up front so it isn't a surprise on the scoping call.

  • Selling to your clients and owning the relationship; that stays with you
  • Your Votel subscription and usage charges, which you pay Votel directly
  • The initial agency-level setup (see Votel Agency Setup)
  • New custom integrations and API builds, which are scoped separately

Questions buyers ask

How is this different from Votel Agency Setup?
Setup is one-time: the agency-level branding, the sub-account template, the launch checks, and the runbook. Fulfillment is ongoing: every client you sign after that, and every support request and change once they are live. Most agencies start with setup and add fulfillment once the first few clients are live.
Do you talk to our clients directly?
Only if you want us to, and only under your agency's name. Some agencies keep every client conversation and send us the requests. Others have us handle day-to-day support tickets as part of their team. Either way, your client never sees VotelOps or Votel.
How do we send requests?
Through one agreed channel, not scattered chats. A useful request names the sub-account, what it does now, what it should do instead, and how urgent it is. We confirm whether it fits the scope and when it will land before we start.
How fast do you respond?
Response and turnaround times are agreed in writing in the proposal. They depend on how many sub-accounts you run and how much changes week to week, so we set them against your actual workload.
Can you take over accounts someone else built?
Yes. We start with an audit of the existing sub-accounts, tell you plainly what is fine and what will cause problems as you grow, and fix the risky parts before taking on the day-to-day work.
How is fulfillment priced?
Quoted per engagement, mainly on the number of live sub-accounts and how many new clients you expect to onboard each month. Your Votel subscription and usage are paid to Votel directly. Our fee covers the fulfillment work only.

More on how engagements are quoted is on the pricing page, or bring the question to a scoping call.
